Managing calendars and staying on top of tasks can be challenging in today’s fast-paced world. This is where Motion App, an innovative calendar management software, enters the scene. Offering impressive features and an AI-powered executive assistant, Motion is designed to streamline your productivity and time management.
In this motion review, we’ll delve into the key features, pros, cons, and overall performance of Motion. Plus, we’ll touch upon my experience with the software and why it’s worth considering the $228/year annual plan or $34/month price.
What is Motion?
Motion is an AI calendar that allows you to control every area of your life. It can keep track of recurring chores, meetings, and your schedule. The AI skills will automatically plan meetings based on your calendar and automatically plan and manage your day depending on deadlines, work hours, and job duration.
Motion is capable of detecting the user’s preferences. It can also understand the user’s schedule and help them manage it better.
Motion, with its simple interface, is easy to explore and understand.
When you first begin, you are prompted to connect your chosen calendar (currently, there are two other calendar sync options: Google and Microsoft).
You will also define your working hours at this phase, affecting when the motion app will add tasks related to your employment. Include your normal time slots, activities, and sub-tasks like lunch, email responses, and weekly team meetings.
Before adding all of your duties, it is recommended that you first become acquainted with the user interface and explore all of the settings to properly personalize the program to your preferences.
Motion has several impressive core features; among them, Tasks, Calendars, and the Booking system are the most significant. Let’s take a look at these standouts.
Before looking into these features, remember that a web app, mobile app, and desktop app are all options for Motion.
Motion Task Management is a notable aspect of Motion. By harnessing intelligent algorithms, Motion optimizes task planning by considering several essential factors:
Priority: Motion allows users to assign priority levels to their tasks, such as ASAP, Hard Deadline, or Soft Deadline. This enables the app to determine the urgency and importance of each task in relation to other commitments.
Deadline Date: Users can set specific deadline dates for their tasks. Motion considers these deadlines when planning the scheduling of tasks, ensuring that they are completed before the respective due dates.
Start Date: Motion also considers the start dates of tasks, allowing users to specify when they want to begin working on a particular task. This feature aids in organizing tasks in a logical and timely manner.
Work Hours and Schedule Flexibility: Motion provides the flexibility to define work hours and create customized schedules. By incorporating user preferences, such as working during specific times of the day (nights, mornings, etc.), Motion optimizes task planning accordingly.
By considering these key variables, Motion intelligently prioritizes, assigns tasks, and plans to assign tasks within the calendar. This intelligent approach ensures that users can efficiently manage their workload and meet deadlines effectively.
Additionally, Motion offers a project sorting feature, enabling users to categorize tasks and data into distinct projects. This feature provides a clear overview of how time is allocated across different projects, enhancing overall productivity and project management.
The calendar event management feature allows your calendar to begin to fill up as you create tasks and events and add more chores to the app, but you might note that the tasks and events are color-coded there. Tasks imported from your connected calendars are shown in different colors.
Within the Motion app, tasks are produced as grey blocks. Tasks may be divided into two categories based on their boundaries. A job with dotted edges is a “free” task, which suggests additional periods within which it may be finished before the due date. On the contrary, if a job has a full border, it is locked and needs to be completed at the appointed time to be finished before the deadline.
Drag the task block on the calendar to the desired time to adjust a task’s timeframe, but note that doing so locks the job in place and prevents the app from moving it around the calendar.
Integration with Google Calendar is another highlight, keeping all your tasks and events in sync across platforms.
Additionally, Motion respects your privacy by not showing other team members the name of a task on your calendar until you specifically tell it to.
The Meeting Assistant feature offered by Motion App proves to be an invaluable tool, particularly for industries that heavily rely on scheduling numerous meetings. With its array of functionalities tailored toward meeting management, this feature significantly simplifies booking and organizing meetings. Here are the key components of the Motion’s Meeting Assistant:
Customizable Booking Pages: Motion allows users to create personalized booking pages akin to platforms like Calendly, albeit with a streamlined feature set. These pages enable effortless scheduling, ensuring that any time slots booked by others seamlessly integrate with the Motion calendar.
Efficient Time Blocking: Within the Scheduler tab of Motion, users can easily create designated time blocks on their calendars, ensuring meeting availability. The intuitive click-and-drag functionality makes it effortless to reserve specific periods to be kept free for potential meetings.
Template Maker for Time Zone Challenges: Coordinating meetings across disparate time zones can be a daunting task. Motion’s Template Maker comes to the rescue in such situations, facilitating the process of finding mutually available time slots. This feature proves to be an invaluable aid, particularly when scheduling meetings with individuals residing in different time zones.
By harnessing the capabilities of Motion’s Meeting Assistant, professionals can efficiently navigate the complexities of meeting management. The ability to create customizable booking pages, strategically allocate time blocks for meetings, and address time zone challenges contributes to a streamlined and effective meeting scheduling experience.
Using the Alt (Option) + A keyboard shortcut, you can construct a message that is pre-filled with the available period to schedule meetings that you can send to a customer along with the booking page link. The Meeting Assistant works as follows. You choose times when you are available and prepared to hold a meeting.
With Motion, there is no requirement for a desktop app or software because all necessary functionality is provided by the Web app or mobile version; however, the desktop version is available if you want to install it.
The web application is considerably more flexible in how you may use it, but the mobile app is handy for checking your calendar when you are not on a computer. The mobile app provides a really simple method to view all of your tasks and calendars.
AI-Powered Executive Assistant
What sets Motion apart from its competitors is the AI-powered executive assistant. This smart feature adjusts and reshuffles your schedule if you miss a task or book a meeting, ensuring that nothing falls through the cracks and that you do not have to manually reorganize tasks.
Also, the AI assistant makes it simple to add recurring or one-time tasks, relieving you from the burden of constant manual calendar updates.
Pros and Cons
Motion offers several advantages, including task customization, intuitive scheduling, project management, schedule blocking, task chunking, and seamless integration with Google Calendar. However, it’s essential to examine the software’s shortcomings as well.
The booking functionality needs improvement
While Motion offers booking pages for scheduling meetings, some users may find that the functionality lacks certain advanced features found in dedicated scheduling tools.
Occasional delay when the calendar recalculates
Motion’s AI-driven scheduling process may sometimes result in slight delays as the calendar recalculates based on new inputs or changes. This delay can be a minor inconvenience.
Tasks might be shuffled due to user input errors
In cases where user input errors occur, such as incorrect task durations or priorities, Motion’s AI algorithms may rearrange tasks. Users must ensure accurate input to maintain the most accurate algorithm and task order.
As a Motion user for about two months, I’ve noticed considerable improvements in my time management and productivity. The software takes care of all my scheduling needs, helping me focus on what matters. Motion has empowered me to work more efficiently and delegate tasks that need outsourcing easily.
Furthermore, Motion’s ability to manage personal tasks alongside business-related ones has helped me maintain a more balanced schedule.
Comparison with Competitors
While Motion offers a tailored experience for individuals needing a smart scheduling solution, it’s essential to explore its standing amid other leading software in the market.
Compared to popular alternatives like Asana and Trello, Motion stands out from many apps in its ability to manage and automatically adjust your schedule. Additionally, the AI-powered executive assistant simplifies task management, something that is usually manual and requires more extensive collaboration using other platforms.
However, Motion could improve its booking functionality to compete with robust scheduling software like Calendly and Acuity, offering smoother multiple-meeting management.
Is Motion Worth it?
Motion is a good choice for anyone looking for sophisticated calendar management software that can handle both personal and business activities. Motion, with its superior AI capabilities, provides a number of functions meant to improve scheduling, job management, and productivity.
Motion is also worth considering for those looking for an intelligent calendar management tool with customization, productivity features, and connectivity with Google Calendar. Its capacity to adapt to the demands of users, improve scheduling efficiency, and give a full perspective of personal and professional responsibilities makes it a powerful tool for increasing productivity and remaining on top of commitments.
